1. Serious hazard priority option

From a works order:

  • In the Priority drop-down menu, a Serious Hazard option is offered
    This option is shown when default priority options are in use - the default options are shown below
    If you are using custom options, the Serious Hazard option will need to be added by Reapit Support

  • When setting the works order priority to Serious Hazard, it cannot be saved until a Review Date is added (see step 2)

2. Review date field

A review date can be set on any works order but, as outlined above, a review date must be set on a works order that is classed as a Serious Hazard

From a works order:

  • In Review Date, enter the required date to review the works order

  • When a review date has been entered and has passed, a red exclamation mark is displayed

Tip

When a review is overdue (or close to its due date), it can be flagged on the Property Management panel of the Organiser, see next step

3. View works orders to be reviewed via the Organiser Property Management panel

The Property Management panel on the Organiser can be setup to flag when a works order is due for review - the default is set to 7 days but can be changed by the user/negotiator on their Organiser Property Management panel

The option needs to be added to the Property Management panel first, see 3a for information on how to do this

From Organiser Property Management panel:

  • Click Works orders due for review in next 7 days to display works orders in the panel
    OR, right-click entry and choose Full results to display works order in a grid (shown in step 5)

    • To change the number of days, click number (e.g. 7), enter required number and press enter on keyboard

Works orders with a review date in the past plus the next 7 days will be displayed

3a. Add works orders due for review in Property Management panel

The works orders due for review option (shown above) needs to be added to the Organiser Property Management panel

From Organiser Property Management panel:

  • Hover over panel header and click cog icon

  • In Panel Setup, scroll to bottom and tick Works orders due for review option

    • Click tick icon in panel header to save

4. Report on works order review date & serious hazard priority

Works order reports allow reporting to be done on the works order review date and the serious hazard priority

From Power Reports:

  • Select report type Works Orders Report and click Pick Works Orders Criteria

  • Select Review Date and/or Priority criteria options to report on

    • Review Date - select the date range (in days/weeks/months)

    • Priority - select Serious Hazard (and/or other priorities to report on)

After running the report, the results are shown in a grid where the review date and priority can be shown in a column, see next step

5. Show review date and/or priority column in works order grid from Organiser/report results

When viewing works orders in a grid via the Organiser or after running a report, a Review Date column can be displayed within the grid to allow the date to be viewed and the list to be sorted or filtered by date - a priority column can also be added to the grid to show the Serious Hazard priority

  • Right-click over the grid column headings, select Pick columns, then select Review Date
    (and/or Priority)

  • Newly added columns are added to the far-right of the grid, click and drag to the desired position

    • After making changes to the grid columns/layout, right-click over the column headings again and click Save grid layout

Grid functions can be used to sort, group or filter the list by date/type (depending on column content):

  • For the Review Date column:

    • To sort the list by date, click the column heading

    • To filter by date, click to the right of the column heading to view filter icon and enter date(s) to filter by (shown below)

  • For the Priority column:

    • To sort the list by type, click the column heading

    • To filter or group by priority type, click to the right of the column heading to view filter icon and choose to filter by specific priority type(s) or to Group by Priority
