Using applicant status & running reports

This guide has been reviewed against our global client base and classed as relevant to all regions

Completing the applicant/buyer status screen as far as possible is highly recommended; doing so allows your data to be manipulated to generate business opportunities

For example: for lettings opportunities, the screen can be used to log applicants who are investors and, for sales opportunities, applicants who have a local property to sell can be noted - reports can then be run on this data

1. Access applicant status options

From applicant:

  • Click link beside Status
The Applicant Status screen will be displayed

  • See 2 & 3 for examples on how to use the status screen

Hover over the link for a summary of status options already set
Or right-click to pick the status options from a shortcut menu

2. Local applicant with a property to sell

If an applicant is local with a property to sell:

  • Set Selling Position and Selling Status as required

  • If already selling with another agent, the Agent can be selected

  • Tick Potential Client
This should be done for all local applicants with a property to sell
This allows a Potential Client report to be run for your office, which will return all your potential local vendors - if the current agent details are also entered, this can assist in identifying trends

3. Applicant is an investor

If an applicant is an investor:

  • Set Selling Position to Nothing to sell

  • Enter the appropriate Buying Position

  • Set Buying Reason to Investor/To Let

4. Running applicant status reports

From main menu:

  • Click Reports and select Power Reports

  • Change the report type to Applicant Report and select Sales or Lettings, as required

  • To report by office, click Office and select an office name or choose is current office

  • To ensure only active applicants are returned, click Active and leave set to is true

  • Select the required buying/selling status criteria to narrow down the applicants returned

For example:

  • To run a local potential vendor report

    • Select Potential Client and set to is true

    • Click Run Report

  • To run an investor report

    • Select Buying Reason, leave set to any of and select Investor/To Let

    • Click Run Report
