Record property inspection responsibility & type - configuration option

This guide has been reviewed against our global client base and classed as relevant to all regions

A configuration option is available which allows the recording of property inspection responsibility on a tenancy as internal or external - a default external provider can also be set

Further security options are also available to prevent specified users from making changes to the responsibility setting (allowing you to set this up for a specific user group)

Once set up, when viewing a list of inspections to be booked, it can be filtered/grouped/sorted by property inspection responsibility

1. Set responsibility type

From the tenancy:

  • Click Management tab

  • In the Inspections panel, beside Responsibility - select Internal or External
    If selecting External, see next step

2. Selecting external provider

Your system may be set-up to preselect a default provider, if not or you wish to change the selected provider, follow the instruction below

  • To the right of Responsibility, click Provider

  • Select (or add) the required company and click Accept
    Or, to switch providers, from the company screen click Change the currently selected company
    (link bottom left)
    The provider name is displayed

3. Activity Feed

After saving the tenancy record, changes to the inspections responsibility and provider are logged as Management Notes in the Activity Feed

4. Inspections to be booked list

From the Organiser, Property Management panel:

  • Right-click over Inspections to be booked and select Full results
    Inspections to be booked are shown in a grid

  • The Responsibility and Provider columns can be used to sort, group or filter the list
    Click the column headings to sort or click to the right of the column heading for available options
