Unallocated tenant receipts

This guide has been reviewed against our global client base and classed as relevant to all regions

If a tenant makes a payment that exceeds the total invoices due, any extra money will be held as tenant unallocated monies - these can be managed from the tenancy directly, or in bulk through the Unallocated Tenant Receipts screen

1. Access Unallocated Tenant Receipts screen 

From the main menu, click Lettings/Rentals:

  • Click Daily Accounts Processes and select Unallocated Tenant Receipts
    This screen shows all tenants that have monies held on account that have not yet been used to pay an invoice

2. Auto allocate

When a rent invoice is due, the screen will prompt you to allocate funds to the next invoice

  • Tick Auto allocate 
    The system will use the money to pay the oldest rent invoice first - the exception is if the amount of the receipt exactly matches the amount of an outstanding non-rent invoice

  • To view a record, right-click and select Show Tenancy

  • Double-click to manually allocate the receipt and create postings to override the system default allocation
    If there are no outstanding invoices, the money will remain on the tenant ledger/account until there are invoices raised, then the funds can be allocated as part of this daily process

  • Click Post to allocate the receipts to the invoices shown
