How/where data from Reapit is shown in the MyAgency app

This guide has been reviewed against our global client base and classed as relevant to all regions

This guide outlines where the data in the MyAgency app is being taken from in the Reapit CRM system

Each section shows an area of the MyAgency app and where the data is coming from within Reapit

The guide is divided up by area within the MyAgency App, click a link to skip to that section:

Home page

All screens shown in this section are seen when clicking Home on the main menu of the MyAgency app

Contact name on home page

  • Name is taken from the contact record, first name and last name fields

Account settings - name & contact details

  • Name is taken from the contact record, first name and last name fields

  • Email address & Mobile number also from the contact record

Key contact / negotiator name & contact details

  • Main contact name on home page is the Key Contact on the contact record

  • Key Contact name, mobile number (or landline if no mobile available) and email address is taken from the Select Negotiator screen (which is taken from the Negotiator Setup configuration screen)

  • All contact detail shown on the contacts screen is taken from the Select Negotiator screen (which is taken from the Negotiator Setup configuration screen)

Sales progress indicator

When vendor has a property with an accepted offer:

  • On home page, shows percentage of completed Legacy Milestones as set in the Sales Progress screen on the property

When the Sales Progress panel is clicked:

  • Legacy Milestones are listed (shown left) along with their current status to the right, this is taken from the Legacy Milestones tab of the Sales Progress screen for the property

The Sales Progress milestones are also shown when viewing the property in MyAgency via My Properties and clicking Checklist

Statements (for landlords)

Statements are seen on the home screen in MyAgency when the user is a landlord

From landlord home screen:

  • The most recent statement titles are displayed, select View All

  • Statements are shown that are stored in the landlord record within the Documents section and marked as a Statement document type

Any statements marked as Private in Reapit will not be shown in the MyAgency app

Upcoming events

  • The Upcoming Events panel flags any future viewings or property inspections and also expired certificates

My Properties

All screens shown in this section apply to both sales & lettings properties and are seen when clicking My Properties on the main menu of the MyAgency app

Property picture

  • Property main picture (indicated by yellow star) in the Pictures screen is used as the main picture

Property status

  • Property status is taken from the Status set on the property record

Property address

  • Property address is taken from the property record (excluding property name & country)

Bedroom & bathroom count plus square footage/metres

  • Number of bedrooms, bathrooms & square footage/metres is taken from the property attributes

View listing information

From My Properties, click View Campaign (as seen above):

  • The bold headline description is taken from the strapline field

  • The description is taken from the short description field on the main property record

When scrolling down on the screen above, bullet point details are shown:

  • Bullet points are taken from Accommodation Summary section of the Rooms screen of the property

Other property details are shown:

  • Land Area, Building Area and Features are taken from the property attributes

Property price & style

From My Properties, click View Campaign (seen in previous section):

  • The property price is taken from the Price field on the property

  • The property style is also shown on the View Listing page, this is taken from property attributes

Campaign data

Matched applicants

From My Properties

  • The number of matched applicants is taken from the journal - the Unique match figure is used
    (i.e. duplicate matches are not included)

Offers
  • Total number of offers is taken from the Offers screen, the highest offer value is also taken from here

When the Buyer Offers option is clicked:

  • The list of applicants making an offer is displayed which includes the Price offered, offer Status and offer Date - all information is taken from the Offers screen
    In the MyAgency screen below, the dates shown are not correct, this will be rectified in a future release

Documents

When the Documents option is clicked:

  • A list of documents/letters stored on the property record within the Letters screen is displayed

Any letters/documents marked as Private in Reapit will not be shown in the MyAgency app

View Campaign

All the areas covered in this section are seen when clicking View Campaign on a property (in My Properties)

On market date
  • The On market date is taken from the property Financial screen, Date Instructed field

Interest levels

Scroll down on the screen above to view the Interest Levels chart - this chart shows, as a percentage, a breakdown of the applicant status grading of the applicants who have viewed the property

  • The status used is taken from the Applicant Status field within the Applicant Status screen on each applicant record

Enquiry Sources

Scroll down on the screen above to view the Enquiry Sources chart - this chart shows, as a percentage, from the applicants who have viewed the property, the reason they are registered as an applicant

  • The enquiry source is taken from the Source on each applicant record

Viewing Feedback

Scroll down on the screen above to view the Viewing Feedback chart - this chart shows, as a percentage, a breakdown of applicant feedback gathered, organised by feedback type, following the viewings on the property
This is applicable when a preset list of viewing feedback options are used to complete viewing feedback

  • The viewing feedback is taken from the diary entry to the right of the Follow Up field

Works orders - lettings specific

The areas covered in this section are seen when accessing Work Orders on a lettings property (as a landlord) or via Report a Fault (as a tenant)

Landlord view - access works orders list & works order detail

As a landlord:

  • Select My Properties then select Owner and, under the required property, select Work Orders

  • The list shown is taken from the list seen when clicking Works on the property screen

Works order information in summary list

Information for each works order is taken from the Works Order screen:

  • Date top left is the Booked On date

  • Title is taken from the Work Title

  • Completion date is the Completed date

  • The status shown in the shaded box is the works order Status
    The status shown in MyAgency usually reflects the same status type as that shown in Reapit, except for Action Needed which indicates the status of Pending Approval in Reapit

  • Cost reflects the Net Cost plus VAT

  • Click a works order to view more detail

    • Title is taken from the Work Title

    • Status is the works order Status
      The status shown in MyAgency usually reflects the same status type as that shown in Reapit, except for Action Needed which indicates the status of Pending Approval in Reapit

    • Works order no. is displayed at the top of the Works Order screen

    • Repair request date is the Required By date

    • Requester is the Reported By name
      In this example the requester is the landlord, therefore his name is shown

    • Where text is shown at the end of this section, this is taken from the text box under Account

    • Contractor name is taken from the selected company/supplier record in the Contractor panel on the works order

    • VAT cost is taken from the VAT field

    • Estimated Cost is taken from the Our estimate field

    • Repair date is the Required By date

As a tenant:

  • Select My Properties then select Tenant and, under the required property, select Report a Fault

  • The list shown is taken from the list seen when clicking Works on the property screen

  • Click a works order to view more detail

    • Title is taken from the Work Title

    • Status is the works order Status
      The status shown in MyAgency usually reflects the same status type as that shown in Reapit, except for Action Needed which indicates the status of Pending Approval in Reapit

    • Repair request date is the Requested By date

    • Requester is who the works order was Reported By

    • Text could also be shown at the end of this section, this is taken from the Description text box

    • Contractor name is taken from the selected company/supplier record in the Contractor panel on the works order

Using the Report a Fault link on tenant view will create a new works order which will be added to the list seen when clicking Works on a lettings property screen

Certificates - lettings specific

The areas covered in this section are seen when accessing Certificates on a lettings property as a landlord or a tenant

To access certificates:

As a landlord:

  • Select My Properties then select Owner and, under the required property, select Certificate

As a tenant:

  • Select My Properties then select Tenant and, under the required property, select Certificate

Access certificates held on property

  • The screen below is seen when clicking Certificates on a property

  • The certificates displayed on a lettings property in MyAgency are taken from the Documents screen on a certificate

Any certificates marked as Private are not displayed in the MyAgency app

Transactions - lettings specific

The areas covered in this section are seen when accessing Transactions on a lettings property as a landlord or a tenant

Access transactions as a landlord

  • Select My Properties then select Owner and, under the required property, select Transactions

  • Landlord transactions are taken from the landlord record, Transactions screen

  • Select My Properties then select Tenant and, under the required property, select Transactions

  • Tenant transactions are taken from the tenancy record, View Transactions

Meter readings - lettings specific

The areas covered in this section are seen when accessing Meter Readings on a lettings property as a landlord or a tenant

To access meter readings:

As a landlord:

  • Select My Properties then select Owner and, under the required property, select Meter Readings

As a tenant:

  • Select My Properties then select Tenant and, under the required property, select Meter Readings

Submit meter readings

  • Meter readings submitted by the landlord or tenant are shown in MyAgency and are sent as a task
    As with all Reapit tasks, they are displayed in the Activity Feed on the property and also in the Tasks section of the property journal

Meter readings are submitted by a landlord or tenant using MyAgency - submitting a reading does not update the meter readings stored on the tenancy record, Management tab in Reapit

Contact section

All screens shown in this section are seen when clicking Contact on the main menu of the MyAgency app

Office details

  • The office details are taken from the Main Office set on the property

  • The office address, including postcode and office email address is taken from the Select Office screen (which is taken from the Office Setup configuration screen)

Staff details

  • The View More Staff option displays details of staff who are assigned to the Main Office

  • Staff name, mobile number (or landline if no mobile available) and email address is taken from the Select Negotiator screen (which is taken from the Negotiator Setup configuration screen)
