Further changes to quick search function for landlords, tenancies, contacts, companies, blocks & Universal Search

All changes to searching outlined here relate to when searching via the following options on the main menu: Lettings/Rentals, Contact and Company, Blocks* & Universal Search

The changes outlined below the same as those implemented from version 12.201.5+ for property quick searching and 12.208+ for applicant quick searching, as outlined here:

This update results in all quick search functions on the main menu being updated with the new search processes to assist efficiency and system performance

To increase efficiency and system performance, various changes have been made to the quick search function available via the Lettings/Rentals, Contact and Company, Blocks* & Universal Search options on the main menu, the changes can be summarised as follows:

  • No archive search
    Only live records will be returned, archived records will not be included - this will result in a faster search process
    For archived records, the existing Advanced Search function should be used instead (prior to this release, archived records may have been searched for and shown in the menu bar)

  • Only one wildcard** search applied
    Only one wildcard search is used in a search, plus the wildcard is only applied to the end of the search term, this change results in more relevant search results being returned (prior to this release, multiple wildcards were applied throughout the search term/phrase)

**wildcard = a special character that represents one or more other characters in a search

  • Maximum search result - 50 records
    Up to 50 search results will be shown in the menu bar
    To view more than 50 search results, the existing Advanced Search function should be used instead (prior to this release, 100 results for each search type were shown in the menu bar)

  • Intelligent searching
    More intelligent logic is now applied to the search term - matching the search type to the search text, where possible - for example:

    • If the search includes a number, or a street suffix like Road, Avenue etc. - an address search is applied

    • If the search includes a title (e.g. Mr), a name search is applied

    • After searching, the option to refine results by name or address is also offered

Access quick search function for landlord/tenancy, company, contact, block* or Universal Search

Quick search functions are available for landlords/tenancies, companies, contacts, block* or Universal Search via the main menu:

  • Click Lettings/Rentals (for landlord/tenancy searches), Company, Contact, Block* or Universal Search (magnifying glass, top left)

  • Use the search bar shown to the right to carry out a quick search

No archive search

  • Only live records will be returned

  • Archived records will not be included

Example

When searching for an archived record (e.g. a contact) via quick search:

  • If the search does not return any matches, the option to click advanced search is offered

  • OR, if the search does get live record matches, click Advanced Search at the bottom of the menu bar

  • The Advanced Search screen is displayed pulling through the previous search term

    • Tick Include archive / Search Archive
      Any archived records matching the search term displayed/added to the list on the right

This change results in a quicker search process

Only one wildcard** search applied

  • Only one wildcard search is used in a search

  • The wildcard is only applied to the end of the search term, rather than to every space within the search term/phrase, as done previously

Example

  • Carrying out a company quick search for ‘harrison homes' will return results that match exactly and also those that start with the full search term (the wildcard is applied after 'homes’)

  • Prior to this release, a wildcard would have also been applied after the first word in the search term, therefore matches to ‘harrison’ would also be found

This change results in a quicker search process

Maximum search result - 50 records

  • Up to 50 search results will be shown

  • Where a search has more than 50 results, this is indicated as 50+

To view more than 50 search results, the existing Advanced Search function should be used instead

From the bottom of the main menu:

  • Click Advanced Search (select Tenancy Search or Landlord Search, when appropriate)

  • The Advanced Search screen is displayed showing the full search results

    • In this example, there were 85 records matching the search term

    • If search results are not shown, ensure filters on left are not preventing this, then click Search to refresh the screen - in this example, a Full property search needed to be selected to show all results

Intelligent searching

More intelligent logic is applied to the search term entered - matching the search type to the search text, where possible

  • If the search includes a number, or a street suffix like Road, Avenue etc. - an address search is applied

  • If the search includes a title (e.g. Mr), a name search is applied

After searching:

  • An option to refine results is offered
