Cancel a viewing (or diary appointment)

This guide has been reviewed against our global client base and classed as relevant to all regions

If a viewing/diary appointment is no longer going ahead, it should be cancelled in the diary, doing so ensures that a log is kept in the relevant property/applicant journals

Cancelled viewings can be un-cancelled, reported on via a diary Power Report and shown in diary report results grids

1. Cancel viewing/appointment

A viewing/appointment can be cancelled directly from the main diary screen or from within the appointment details screen

a. Cancel viewing/appointment from diary via right-click

From diary:

Right-click appointment and select Cancel Appointment

b. From the viewing appointment screen

From diary or property/applicant journal:

Double-click the viewing/appointment to open the appointment detail screen
Tick Cancelled and click Save (top right)

2. View cancelled appointments

When the diary is set to display cancelled appointments:

The appointment is greyed out and displayed as (Cancelled)
If cancelled appointments are not shown in the diary, see section 2a below

Cancelled appointments show in the relevant property/applicant records:

In the Activity Feed
In the Journal

2a. Change diary settings to show cancelled appointments

Diary settings determine whether cancelled appointments are shown

From diary:

Click cog icon (in Display panel on right) and select Show cancelled appointments

If choosing not to show cancelled appointments via diary settings, they will still show in the journals, activity feeds and reports

3. Un-cancel appointment

From diary:

Right-click appointment and select Un-Cancel Appointment

An appointment can also be cancelled from the appointment details screen
(un-tick Cancelled, then Save)

4. Report on cancelled appointments and/or show on diary report results grids

Cancelled viewings/appointments can be included in reports/grids by using the Cancelled criteria option and/or adding a Cancelled column to diary report results grids

From Power Reports:

Select Diary Report type
Select Cancelled criteria option
To just show cancelled appointments in the report, select is true
To exclude cancelled appointments from the report, select is false

After running a diary report, from the report results grid:

Cancelled column indicates whether the appointment is cancelled
Click column heading to sort the data - or hover over the column heading and click filter icon (to the right) for options to filter or group the data

If the Cancelled column is not showing in the diary report results grid, right-click over the column headings, then select Pick columns and Cancelled
The column will be added to the far right of the grid - click and drag to the desired position, then right-click again and select Save grid layout
