Enhancements to property license reporting & related property grids

The criteria options available when reporting on property licensing has been expanded to allow more extensive reporting on property licensing to be carried out

After running a report, all new criteria options can also be shown as columns within a property report grid, allowing the data to be sorted, grouped or filtered by the selected column - these columns can also be seen when viewing a property grid from the Organiser

Reporting on property licensing was introduced in version 12.203 and the ability for a user to set-up their property grids to view a limited amount of data was introduced in 12.204 - these enhancements now allow all* property licensing fields to be reported on, as well as allowing a user to set-up their property grids to view all required property licensing data, without needing to contact Reapit Support

*with the exception of Current Tenancy Occupants, which is currently not available
as a criteria option, but is available as a property grid column

1. Access property licensing criteria options

From property report (for sales or lettings):

  • Build required property report criteria, as usual

  • In Linked Records, select Licences sub-report

  • Click Pick Property Licence Criteria - all property licence criteria options are displayed
    The new options are highlighted below

    • Licence expiry, Licence required, Licence type granted were existing options
      (from version 12.203+)

  • Above Comm Premises: select is true/false (i.e. yes/no) to include/exclude commercial

  • Allowed Households: enter the amount/range of allowed households to report on

  • Allowed Occupants: enter the amount/range of allowed occupants to report on

  • Application Date: enter the application date/date range to report on

  • Application Ref No: enter reference number/part number to report on/exclude from report

  • Application Status: select application status to report on/exclude from report
    Options are: Applied, Granted, Landlord Applying, N/A

  • Article 4: select which Article 4 property types to report on/exclude from report
    Options are: No, Not Set or Yes

  • Compliance Status: select which compliance status to report on/exclude from report
    Options are: Compliant, Non Compliant or Unknown

  • Current Ten Households: enter the amount/range of current tenancy households to report on

  • Licence Granted: enter the licence granted date/date range to report on

  • Licence Ref No: enter reference number/part number to report on/exclude from report

  • Section 257 Property: select which Section 257 property types to report on/exclude from report - options are: No, Not Set or Yes

2. Pick columns in property grid (from report or Organiser)

After running a property report or viewing an Organiser property grid, licensing columns can be added to the grid:

  • Hover over column headings, right-click and select Pick columns

  • Select the required licensing options and click Accept

    • All property licensing criteria options (seen in step 1) are available, with the addition of Current Tenancy Occupants (currently not available as a criteria option)

    • Local Authority can also be added (as set in the property licensing screen)

  • New grid columns are are added to the far-right of the grid, click and drag to the desired position

  • After making changes to the grid columns/layout, right-click over the column headings again and click Save grid layout

    • If you have already saved the report criteria - to save to the default report grid for this type, select Save as default layout or, to save the grid just for this saved report, select Save grid to report

  • Grid functions can be used to sort or filter the list by type:

    • To sort the list, click the column heading

    • Depending on the column content, the column can be searched or filtered/grouped, click to the right of the column heading to view filter icon** for available options
      **shown below on Application Status

The screens shown above are from a property grid seen after running a report but all features apply when viewing a property grid launched from the Organiser

The example shown above is generated after running a property report - however, everything covered in this section can also be done on a property grid generated via the Organiser
