Emailing a letter as a PDF

Create letter and email

  • Create the letter

,
  • as usual

, via AgencyCloud:
  • in the Reapit system

  • From the letter in Word

document
  • /DevExpress, click

the Save button
  • Save (in Word/DevExpress)
    The screen will switch back to the

  • Reapit Letter Generator displaying document options (shown below)

  • Select E-mail PDF


A new email will be created with the letter attached as a PDF file
  • Complete the email and click Send

    2. Saving a letter as a PDF

    Create the letter, as usual, via AgencyCloud:

    From the Word document, click the Save button
    The screen will switch back to AgencyCloud, displaying document options over the Letter Generator, as shown in 2a
  • Follow steps 2a - 2c to save a letter as a PDF to Reapit Agency Cloud

  • Expand

    - Select Save as PDFImage Removed

    A window will be displayed allowing you to save the file:

    - Save the file to your Desktop

    - Enter a File name

    - Save as type should remain set to PDF document

    - Click Save

    The PDF will be created:

    - Leaving the Letter Generator window open, minimise all open windows to view your Desktop

    - Click and drag the new PDF document over the AgencyCloud on the task bar and drop over the Letters window

    - The message below will be displayed, click YesImage Removed

    The new PDF will be displayed and accessible in the Existing letters and files area of the Letter Generator window

    Complete the above screen as follows:

    • Select recipients - allows any roles involved in the selected record to be chosen and new email addresses entered

      • Click each section to expand and tick the required contacts with an email address

      • Contacts cannot be selected if no email address is stored for them

    • New address - use this field to enter any further email addresses, separated by a comma

    • Hide/Bcc recipients - tick this box to add the recipients to the Bcc field on the email
      This prevents the recipients addresses from being displayed on the email
      Leaving the box un-ticked will add all selected/entered recipients to the To field

    • Send - Attach as PDF to - select to send a Blank E-mail
      or click the drop-down menu and choose a template (where available)

    • Subject - enter a subject line for the email

    • Attachments - click the paperclip icon to the right

      • Add attachment from this device - browse to find the required letters/files on your device

      • Add attachment from Property - allows letters to be attached that are currently saved in the Existing Letters & Files panel of Letters screen of the record you are currently using (e.g. property)

    From version 12.166 and below

    • The above screen will not be displayed, after choosing to E-mail PDF, a new email will be created with the letter attached as a PDF file

    • Complete the email and click Send

    3. Email option from letters screen

    When a letter has been saved to the Letters screen (or any Documents screen):

    • Right-click over the letter andselect Attach to e-mail
