The full details screen offers further appointment functions, such as marking an appointment as confirmed, changing appointment details, following up an appointment or cancelling it - an option to create a journal entry is also available

Access full appointment details screen

From appointment summary page:

  • Tap Details button

Tip

The first line of the property address and postcode is displayed (top left), tap to display the property on a map app (e.g. Google Maps)

Create journal entry

A journal entry can be added for one or more parties involved in the appointment

From full appointment details screen:

  • Tap blue plus icon (+) and select New Journal Entry

  • The New Journal Entry screen is displayed

  • Select the journal entry type

  • Select who the journal entry is for
    The main vendor/landlord and attendee is displayed, as applicable

  • Enter the text for the journal entry (once saved, this cannot be edited or deleted) and tap Save

Journal entries can be viewed in Reapit Go via the property/applicant/contact details screen

Edit appointment screen

Info

The Edit Appointment screen allows the appointment start/end time & date, appointment type & confirmed status to be changed, alongside setting up/editing a recurring appointment and marking an appointment as virtual and/or a repeat appointment

  • Tap Edit

View & edit appointment start/end time & date

From Edit Appointment screen:

  • To change the appointment date, tap the calendar to the right of the Date field

  • To change the appointment time, tap the clock to the right of the From and To fields

  • Tap Update (bottom left)

  • To change the appointment date, tap the calendar to the right of the Date field

Set-up (or edit) a recurring appointment

From Edit Appointment screen:

  • Tap the Recurring button so it displays as shown below
    To stop an appointment from recurring, tap the button so it displays as shown above

  • Enter the Interval and Type settings for the appointment and when it should recur Until

  • Tap Update (bottom left)

Change appointment type, mark as virtual and/or repeat

From Edit Appointment screen:

  • To change appointment type, click Type drop-down menu and select required option

  • To mark an appointment as virtual, tap the Virtual button so it displays as shown below
    Tap again to remove the virtual flag

  • To mark an appointment as repeat, tap the Repeat button so it displays as shown below
    Tap again to remove the repeat flag

  • Tap Update (bottom left)

Negotiator management screen

The Negotiator Management screen allows the appointment owner to be viewed and changed, along with adding further users/negotiators and offices to the appointment

The appointment can be marked as unaccompanied (or accompanied), plus the property or attendee can also be changed

Access negotiator management screen

From full appointment details screen:

  • Tap appointment owner name

Tip

After making any changes in this screen, tap Update (bottom left)

Change appointment owner

From Negotiator Management screen:

  • The current Appointment Owner name is displayed
    Where an image has not been uploaded via the Reapit CRM desktop product, user initials will be shown instead (as shown below)

  • Select the required user from the list and tap Save
    The users offered are those available to you as determined by your Reapit security settings

  • The appointment is now assigned to the selected user
    This appointment will now display in this user’s diary

  • Tap Update (bottom left)

Mark appointment as unaccompanied (or accompanied)

From Negotiator Management screen:

  • To change an appointment from accompanied to unaccompanied, tap the Accompanied button so it displays as shown below
    Tap again to mark the appointment as Accompanied (as shown above)

  • Tap Update (bottom left)

Confirm appointment

Info

For an appointment to be classed as confirmed, each party needs to confirm they are attending
Depending on who is involved with an appointment 1 - 3 parties may need to confirm their attendance:
1. property (i.e. vendor/landlord) - when added on the appointment
2. attendee (i.e. applicant/landlord/contact/tenant) - when added on the appointment
3. user/negotiator - when appointment is accompanied

From Negotiator Management screen:

  • Red dot indicates that the appointment is not confirmed
    Amber dot indicates that the appointment is partially confirmed

  • Confirmed (x/x) indicates how many parties have confirmed out of the total number of parties

  • When applicable, click the relevant option to confirm the appointment for each party
    In this example, Attendee, Negotiator & Vendor still need to confirm

  • As each party confirms, the screen updates to indicate who has confirmed and who is yet to confirm

  • When an appointment is fully confirmed it is marked as All Confirmed (and displays a green dot)

  • Any party can be marked as unconfirmed again by clicking the party type

  • Tap Update (bottom left)

Add/change property and/or attendee

Info

A property and/or attendee (i.e. applicant/landlord/contact/tenant) can be added (where one has not already been added) or an existing property and/or attendee can be changed

From Negotiator Management screen:

  • When a property or attendee has been added to an appointment, click the link to change it

    • Search for required property/attendee and, when found, tap to select then tap Yes to change

  • When a property or attendee has not been added to an appointment, tap Select… button

In this example, as a property has not been added to this appointment, therefore a Select Property button is available

  • Tap Select Property (or Select Attendee, as applicable)

Add/change additional offices/negotiators

Info

Further users/negotiators and/or all users from selected offices can be added to an appointment, or existing attendees can be edited

From Negotiator Management screen:

  • Tap Select Additional Offices/Negotiators

  • Select/edit required users/negotiators and/or offices and click Save (bottom left, not shown)

    • Click arrows to right of office name to view the users for the office
      The users offered are those available to you as determined by your Reapit security settings

Cancel an appointment (including how to reschedule a cancelled appointment)

1. Cancel an appointment

From full appointment details screen:

  • Tap Cancel

  • Tap Yes to confirm

  • The appointment is cancelled, indicated by a strikethrough on the time/date at the top
    An option to Reschedule the appointment is now available - see step 3 below

2. View cancelled appointments in Reapit Go

Tip

The Reapit Go diary settings (cog icon shown at top of diary) allows you to choose whether to show/hide cancelled appointments

If the Reapit Go diary of the appointment owner is setup to show cancelled appointments, the appointment will still show in their diary (it won't show up as an appointment for today on the Reapit Go homepage)

From the diary:

  • In Schedule view

3. Reschedule a cancelled appointment

From the cancelled appointment information screen (shown above):

  • Tap Reschedule

  • The appointment is now back in the diary as a live appointment with the same information, confirmed status as it was when cancelled

A booking confirmation email can be generated

From full appointment details screen:

  • Tap Booking Confirmation

Appointment notes - viewing arrangements & entry comments

From full appointment details screen:

Viewing Arrangement notes

When Viewing Arrangements have been added via the Viewings & Keys screen on the Reapit CRM product, the notes will be shown here:

  • Where no viewing arrangements have been added, this section will not be shown

  • If you need to edit (or add) viewing arrangement notes, this currently needs to be done via the Reapit CRM product

    • From property, click Viewings & Keys button and enter text in the Viewing Arrangements field

Entry comments

The field below Viewing Arrangement notes displays the entry comments from the diary entry:

  • This field is editable to allow notes to be added/edited

  • After making changes, tap Update (bottom left)
