This guide has been reviewed against our global client base and classed as relevant to all regions

This article explains how to use Query Transactions to report on credit notes raised against rent invoices - for example, if you wanted to report on all rent reductions applied during a specific period

From the main menu, click Lettings/Rentals and under Reporting & Analysis select Query Transactions:

1. Set the reporting period 

  • Enter the dates you wish to report on

  • Change from Transaction to Created

2. Set the criteria

Set the criteria as follows:

  • Ledger to Tenant

  • Transaction Type to include: 

    • Credit Note Correction

    • Credit Note Good will payment

    • Credit Note Refund

    • Credit Note Repayment

    • Credit Note Write off

  • Category to Rent

3. Save the report

  • If required, you can save the report as a Predefined Report

4. Run the report

  • Click Report to now run the report
    The results will open in a new window

5. Search results

  • If required, the report can be narrowed down further using the grid column

  • For example, if wishing to report on rent reductions that have been applied during a specific period, use the Description column to filter by the word Reduce

It is important for your team to maintain consistency when raising credit notes, using key words to enable the most efficient reporting

For example, for rent reductions the standard description could be 'Rent Reduction as agreed for April rent' - filtering by the Reduction in the description column would then provide more accurate reporting
