This guide has been reviewed against our global client base and classed as relevant to all regions

A configuration option is available which allows appointment follow up to be logged separately for each party involved in the appointment

When enabled, this provides the option to separately mark each party involved in an appointment as followed up - an appointment will only be classed as fully followed up when both parties have been marked as such

Example

When an applicant has provided their viewing follow up to the agent, the Followed Up box should be ticked beside the applicant - this ensures that the appointment stays in the appointments to be followed up list on the Organiser

Once the viewing follow up is relayed to the vendor/landlord, the Followed Up box beside the property can be ticked

At this point the appointment is now fully followed up and will be removed from the follow ups list on the Organiser

1. Appointment screen

Both panels on the right have a Followed Up option

When feedback has been gained from either party:

  • Tick the relevant Followed Up box

  • Enter follow up notes as usual

    • When both Followed Up boxes on the right are ticked, the appointment is automatically marked as Followed Up in the panel bottom left and the appointment will be removed from the list of appointments to be followed up on the Organiser

    • Ticking the Followed Up box bottom left will automatically tick the individual Followed Up boxes on the right

2. Diary list from Organiser

When viewing a list of diary appointments on the Organiser:
e.g. via the My Appointments or Follow Ups panels

From the panel header:

  • Click the Pop out to full results icon (highlighted below)

  • The followed up status of an appointment can be identified through the Fu C and Fu V columns:

    Fu C = contact followed up (i.e. applicant/tenant)
    Fu V = vendor/landlord followed up

The grid can be changed to show icons instead of tick boxes:

  • Right-click over the column headings and select Show yes/no as image

    This will display ticks/crosses instead of tick boxes
    To keep this view, choose Save grid layout from the menu above
