Service charge invoice frequency settings

This guide has been reviewed against our global client base and classed as relevant to all regions

The service charge invoicing frequency is set up on the main estate record, although it is possible to override the main estate setting at unit level - set intervals can be chosen or custom payment frequencies can be set

1. Regular invoice frequency

A regular frequency setting can be chosen

On the main estate record, in Service charge invoicing, click the link to choose from:

  • Monthly

  • Quarterly

  • Half Yearly

  • Yearly

  • Custom
    (see next step)

 

2. Custom invoice frequency

Selecting Custom displays the Invoicing Frequency screen:

  • Click  to add a frequency

  • Select whether the Instalment amounts are Equal or Custom

    If Custom is selected, amounts can be entered and need to add up to the total service charge amount for the site

  • Set the Month and Day 
    (plus Amount for Custom instalments)
    for this invoice cycle

    Repeat the above steps until all instalments are added

  • Click Accept to save

    Hovering over the Custom link on the main estate record displays the custom frequency settings - see 2a

- Hovering over the Custom link displays a summary of the custom frequency settings
- Clicking the Custom link offers the option to View/Edit the custom frequency settings

3. Setting invoice frequency at unit level

The instructions shown above explain how to set up the frequency at estate level, it is also possible to override this on individual units, where required

  • Open the unit record

    The Invoicing setting is taken from the main estate record

  • Click the link and select the setting for this unit

  • Click Save
