Logging lost market appraisals allows details to be recorded and a follow-up call to be scheduled Lost MAs - lost MA properties can also be reported on

1. Change property status

From the property record:

  • Click the Status menu


Select Image Removed

  • and select Lost instruction to other agent

The Lost Instruction window is displayedEnter

2. Complete lost instruction details

  • Click the link to select (or add) the external agent details who won the instruction

  • Select the reason, adding notes below (where available)

  • Image Added
    • Instructed Agent: click link to select the instructed agent’s company record

      • If details of other agent appraisals have been entered, the relevant agents will be offered - select the required agent and click Accept
        Or select Other and search for the required agent’s company record (if not found, add new)

      • If no other agent appraisals have been entered, the company search screen will be displayed to search for the required agent’s company record (if not found, add new)

    • Reason: select the reason the vendor chose this agent - if Other is selected, notes can be added

    • Schedule call in x weeks: enter a number of weeks for follow-up
      This updates the Next Call date on the property record and adds the property to the Organiser Vendors to call list

    on the Organiser
    • from this date

    • Click Accept

    Image RemovedClicking the Status menu allows the Lost appraisal details to be viewed or updated

    3. Lost MA property screen

    When a property is at Lost MA status:

    From property record:

    • The status is For Sale - Available (Lost MA)

    • The vendor section shows the property as External with the agent name visible

      • Click the agent link to view the agent record

      • Click the contact icon (to right) to view the vendor details
        Hovering over the icon shows the vendor name(s)

    • Agency type is changed to Comparable

      This allows property reports to be run using the Agency criteria type of Comparable

    • Click Status menu to view the Lost appraisal details

    • A Won instruction back option is also available for future use

  • The property is marked as External with current agent name beside this

    Vendor details can be viewed by clicking the orange contact icon to the right of the agent name

    4. Contacting Lost MA vendors

    From

    Lost MAs due to be contacted are flagged in the Organiser

    , Vendors to call list: 
  • View the list in a grid (see 4a)

  • Use the Status column to sort/filter or group the list
    For example:
  • clicking the column heading sorts the list by status

  • clicking the arrow to the right of the column and selecting For Sale - Available (Lost MA) will display just the Lost MA properties- Click the Pop out into full results icon

    via the Vendors To Call list

    From Organiser:

    • Right-click over Vendors to call and select Full results to view the Vendors to Call grid
      All properties that have a Next Call date of today, or a date previous to today, will be displayed here

    - Hover over the panel to display icons on the panel header

    • Click to the right of Status column heading and select For Sale - Available (Lost MA)

    5. Reporting options

    A list of lost MAs can be generated using Power Reports

    From the main menu, click Reports and select Power Reports

    • Click here for information on building a Power Report

    • Ensure that the Property Report type is selected for Sales or Lettings, as required

    • Click Show more and select Instruction lost
      When running a sales property report, a Lost MA date criteria option is also available - this criteria option should be ignored as it acts in the same way as the Instruction lost criteria

    This report will return all sales properties from the logged in user’s office that have been logged as a lost MA in the last 4 weeks
