Marketing consent settings (GDPR)

This guide has been reviewed against our global client base and classed as relevant to the UK only

This page explains the different marketing consent status options - what they mean and where they can be changed

Using the system does not guarantee GDPR compliance, you should always follow your own corporate process to ensure this

Consent for marketing does not affect property matching - to prevent an applicant being matched to a property, you should mark the applicant as inactive, as outlined here:
Excluding an applicant from matching

1. Setting marketing consent

Marketing Consent can be set/changed on any role record (i.e. contact, applicant, vendor, landlord, tenant) but is ultimately held against the contact and shared across any role the contact has

From top left of record, below contact name:

  • Click Marketing Consent and choose the required option

After changing the consent setting:

  • Click Save (top right)

  • A journal entry is added and shown in the Activity Feed, stating when it was changed and who by

2. Reporting on marketing consent

  • Create a new Power Report, choosing Contact Report as the report type and select Marketing consent

  • Pick from the Marketing consent is criteria options

  • Click Pick Contact Criteria to return to the previous screen where more options can be chosen (such as adding Office criteria or a Linked Record) along with the option to Run Report

For more information on building Power Reports, click here: Power Reports

As well as setting Marketing Consent on the contact record, it is possible to apply individual levels of consent to mailings/events within the Categories & Mailings screen (also on the contact record)

This can be used when a contact has denied consent for general marketing but has expressed interest in specific publications - or the reverse, where a contact has consented for marketing but has requested to not receive items on specific subjects

Use the Categories & Mailings screen in the contact record to specify individual requirements - any mailings that a contact chooses to opt out of is recorded, along with the date it was changed
