Collating matches allows multiple match results to be gathered together, resulting in each matched applicant being sent details of the properties they have been matched to in one mailing

This is a useful and timesaving mailing tool to get details of multiple relevant properties out to each matched applicant within a single mailing per contact

Example

Match 1

15 Green Avenue matches to:

  • Mrs Harrison
  • Mr Goodall
  • Mr & Mrs Parker
  • Mr Johnson



When these
matches
are collated...

  • Mrs Harrison receives details of 15 Green Avenue & Old School House


  • Mr Goodall receives details of 15 Green Avenue & 30 Mill Lane


  • Mr & Mrs Parker receive details of 15 Green Avenue, 30 Mill Lane & Old School House


  • Mr Johnson receives details of 15 Green Avenue


  • Mr Upton receives details of 30 Mill Lane & Old School House


  • Mrs Taylor receives details of Old School House


Match 2

30 Mill Lane matches to:

  • Mr Goodall
  • Mr & Mrs Parker
  • Mr Upton

Match 3

Old School House matches to:

  • Mrs Taylor
  • Mr Upton
  • Mrs Harrison
  • Mr & Mrs Parker

Running a collated match

Collating can be done via applicant to property matching and/or property to applicant matching

1. Run a match

Carry out the first match

From the match list:

  • Click Print


2. Select collate 

From the Options section:

  • Tick Collate

  • Click Proceed

    A prompt will be displayed, click OK


3. Continue matching & collating

  • Repeat steps 1 - 2 for all subsequent matches


4. Collate matches

From the main menu:

  • Click name/office (top left)

  • Click Tools and select Print Collated Matches

  • Ensure Collated Match Reports is selected and click Accept


5. Email collated matches

To send the collated matches via email:

  • Select E-mail and click Proceed

  • Preview the first message, then follow the prompts on screen to send all messages

Print Options are also available in this screen, allowing letters containing the collated matches to be produced for each matched applicant

6. Clear collated matches

After sending collated emails, a prompt is displayed to clear the collated matches

  • If you want to use the collated match list again, click No

  • If you are finished with the collated match list, click Yes


Matches are logged in the relevant property and applicant journals, as usual
