A ‘last contacted’ date can be set on a renewal negotiation - when adding a renewal note a prompt to update the last contacted date is offered, plus when sending an email to a tenant, the date will be updated

When viewing the renewals list via the Manage Renewals screen, the last contacted date can be viewed and the list sorted/filtered by this date

1. Set last contacted date

From a renewal negotiation:

  • Add a renewal note (click (plus) on the Activity Feed and select Create journal entry)

  • The following prompt is displayed, click Yes

  • The Last Contacted date (bottom left) is updated with the current date

2. Last contacted date updates when sending email to tenant

From a renewal negotiation:

  • Right-click over Letters and select Send e-mail to tenant (then select required template)

  • Ensure email is correct, then send

  • The Last Contacted date is updated automatically

The date is automatically updated when emailing the tenant (not the landlord)

3. Add & save Last Contacted Date column to the Manage Renewals screen

From Organiser, Property Management panel:

  • Right-click over Tenancy renewal negotiations and click Full results

  • The Manage Renewals screen is displayed - to add the Last Contacted column, right-click over the column headings, click Pick columns then select Last Contacted Date
    The Follow Up date can also be added as a column

  • The new column will be added to the far right side of the grid - click and drag the column heading to the desired position

  • Right-click over the column headings again and click Save grid layout

4. Use the Last Contacted Date column in the Manage Renewals screen

Grid functions can be used to sort or filter by last contacted date

  • To sort the list, click the column heading

  • To filter by date, click to the right of the column heading (to view filter icon) and enter the required date(s) to filter by
