This page outlines how to add or edit referral options using the Setup Referrals/Leads screen

From version 12.144+, a key contact can request access to the Setup Referrals/Leads screen by contacting Reapit Support, click here to request this

Referral functionality allows an applicant, vendor or contact to be referred to pre-set companies
For example, a sales applicant could be referred to companies for conveyancing, removals or financial services - for more information on referral functionality, see Knowledge Base guide:
Referrals

Before making changes to configuration, the relevant guidance provided in this section should be read thoroughly - any changes made to configuration that causes an impact on operation may incur a charge to rectify

1. Access Setup Referrals screen

From main menu:

  • Click user name/office top left of main menu

  • Select Configuration and click Setup Referrals / Leads

2. Add/edit a referral

From the Setup Referrals/Leads screen:

To add a new referral:

  • Ensure External Referrals is selected (top left) and click Add New Referral
    This action clears the right side of the screen, ready to add the new referral details, see table below

To edit an existing referral:

  • Select the referral on the left

  • Make changes on the right

  • Click Save

The following settings are available:

Code

Ignore this field - when adding a new referral, the code will be automatically added when the referral is saved

Roles

Select All Roles to offer the referral on all role screens (i.e. property, sales/lettings applicant, landlord)
Or select Specific Roles then choose the specific roles where the referral should be offered 

Name

A description of the referral type, e.g. Mortgage advice
This will be displayed in the referral panel, along with the Company name, see below

Company

The company name the referral is for
This will be displayed in the referral panel, along with the Name, see above

E-mail

Leave blank if using a portal URL for the referral

If the referral action is to send an email, the address should be entered here - a single address or multiple addresses can be entered

If using multiple addresses:

  • Where a company-wide email address and/or office specific addresses are required, the addresses should be comma separated and prefixed with a code

  • For example, to identify a company email address, York office email & Leeds office email, this would be written as:
    C: admin@property.com, YOR: admin@york-property.com,
    LEE: admin@property.com

Portal URL

Leave blank if the referral is via DLL or email

If the referral action is to open a specific webpage, enter the URL of the referral portal

Template

If the referral action is email and a template is to be used, click the ellipsis button (...) to select the template from the list

For email referrals only - leave blank if using a portal URL or DLL

Custom tool

For DLL referral only, leave blank if using a portal URL or email

Enter the name of the custom DLL - must be prefixed with ref_

Allow custom tool to update referral: when this option is ticked, an extra option will be included in the menu for this referral to allow the referral status to be updated (by launching the DLL again even though it has already been sent) - this option is only available for custom DLLs

Offices that can progress

If the referral is to be used by all offices, leave blank

If the referral is only to be used by specific offices, click Select and choose the relevant offices

This setting determines which office(s) can progress the referral
(not which offices can see the referral)
For functionality on limiting the offices that can see the referral, see Applicable Offices field below

Data protection compliance

  • Tick to enable

When enabled and a user chooses this referral type, they will see a prompt to remind them that consent is required in order to process the referral - for example:

Marketplace App

Allows the referral to be passed to a Reapit Foundations AppMarket app

  • Click button
    All installed apps will be displayed, select relevant app to link the referral to

Applicable Offices

Limits a referral so that it is only available to be used for properties/applicants/contacts from a specific office or offices
Available from version 12.183+

  • Click Select and choose the offices' properties/applicants/contacts the referral should be limited to
    Leave blank to apply to all offices' properties/applicants/contacts

3. Save changes

  • Click Save and Exit
