Relocation Agent Network (RAN) integration (UK only)

This guide has been reviewed against our global client base and classed as relevant to the UK only

The Relocation Agent Network (RAN) referral screen gives group members the ability to generate property referrals to other member agents - generating a RAN referral via your Reapit database offers a quick, easy way to refer a client with a property to sell outside of your office area

The RAN integration provides a seamless solution for making referrals. When an agent chooses to make a referral, everything they need is presented to them from within the Reapit database:

  • the RAN referral agent is automatically selected and displayed

  • your agent uses the details to make contact with the RAN referral agent

  • your agent completes one screen from the Reapit software (shown below)

  • an email is automatically created to your client and the RAN referral agent for your agent to send

The pre-populated email means less data entry for your agents, less errors as a result and a greater chance of your referrals being a success

RAN referrals are trackable via the applicant and property journals - a range of reports are also available, improving visibility of activity and highlighting success stories

How to generate a RAN referral

1. Access RAN screen

On the applicant record you wish to refer:

  • In the Referrals panel (bottom right) of the applicant screen, click RAN Property Referral
The following screen will be displayed

  • Based on the postcode entered on the applicant record, the system will automatically display a RAN agent that the applicant can be referred to
    See notes in 1a

Not a RAN member

There may be instances where there isn’t a RAN member present in the location of the applicant being referred - when this is the case, an error message will be displayed which states:

Unable to create referral. Please contact Reapit Support. View Details.
  • Although the initial message displays Contact Reapit Support, this is not required

  • Instead, click the View Details link for further information - for example, this information could be displayed:
Message: Relocation Agent Network has no member coverage in this area but we may be able to place this referral with a B-List agent we have used previously.

  • Access the RAN v5 system to initiate a referral to a B-List agent

When the RAN v5 system is still required

When RAN is integrated with your Reapit software, logging-in to the RAN v5 system to send property referrals to RAN colleagues is no longer needed - however, the RAN v5 system still needs to be used to do any of the following:

  • add a member of staff to the staff list

  • send applicant referrals

  • send lettings referrals

  • send property referrals to B list agents only

  • update referrals received by your office

2. Complete the RAN screen

In the screen shown in step 1, enter the following details:

1. Agent for referral: the referral agent name and phone number will be displayed automatically

2. Position: select the relevant option, Not On Market or On Market

3. On Market With: when On Market has been chosen above, enter the name of the relevant estate agent

4. Referral Reason: select the reason, e.g. company relocation, divorce, second home, etc.

5. Referring Negotiator: select the negotiator from the list that is referring/sending the referral
If the name of the negotiator is not available in this list, their details will need to be added to the
RAN v5 system

6. Please telephone the selected agent... field: before submitting the referral, telephone the agent that
will receive the referral and enter the name of the person spoken to

7. Notes: enter any useful additional notes to store against this referral

8. Confirm agreement of compliance with Data Protection Act: to ensure that standard data protection
requirements have been met, prior to submitting the referral, ensure that the applicant has granted you
permission to refer; once this is the case, tick the box

9. Click Submit

A referral email will be automatically generated, see section 3
Confirm referral sent? will be displayed, see section 4

3. Sending the referral email

After submitting a referral, an email will be automatically generated - dependent on your email settings, this email may be created as a draft and minimised to your taskbar

  • The email will be addressed to the applicant and the agent it is being referred to entered into the
    Cc field

  • Check the details, then click Send to send the email (and therefore initiate the referral)

4. Updating the referral progress

After clicking Submit on the RAN referral screen, this message will be displayed

  • Providing the email was sent, click Yes

  • The Referrals panel will display the RAN Property Referral as sent - indicated by an envelope icon

Once a referral is marked as succeeded, the option to mark as paid is offered, along with entering the amount

  • Clicking the RAN entry displays options to allow the status of the referral to be updated, as required

Referral information can be viewed in the relevant journals under the Referrals section - each stage of the referral progress is logged

5. Referral reporting

Referral reports are available in the Reports menu via:

  • Power Reports
    or

  • MI Reports > Referral Reports

Both options offer the ability to generate two types of reports in Microsoft Excel - Power Reports are shown as an example here

  • Standard Report lists details of each referral logged, who they were generated by and their outcome

  • League Table Report is presented to outline individual and office success with referrals made
