When a market appraisal opportunity has been identified via a current applicant, a property record should be created and set to Pre Appraisal

This page outlines the process for this, including essential information to enter on the applicant and property records, while also highlighting use of the next call date for call reminders

1. Identifying local applicants with property to sell

When an applicant has a property to sell in your branch’s selling area, from applicant record:

  • Click Status and tick Potential Client
    Doing so allows a Potential Client report to be run to identify your office’s local own to sell applicants

  • Ensure that the Applicant Status screen correctly reflects the applicant’s position for selling and buying

To allow the MA opportunity to be managed, a Potential Client should have a property record created, see next step

2. Check for vendor record

To safeguard against creating duplicates, check whether the contact is already set-up with a vendor role for this property

From the applicant record: 

  • Above the applicant name, click the orange Contact icon

  • Check the Activity section (bottom left of screen)

    • If there isn't a current vendor record for this property, proceed to step 3 

    • If there is a current vendor record, jump to step 4

3. Add a property record for the MA opportunity

From the contact record, Activity section:

  • Click (plus) button and choose to add Sales/Lettings Property, as required

  • A prompt is displayed, click Yes

This creates a property record using the contact details to complete the vendor/landlord details and the address of the property to be marketed, see next step

4. Details to enter on the MA opportunity property record

From new property record created:

  • Status: set to Pre Appraisal
    This allows reports to be run on Pre Appraisal properties to generate a list of MA opportunities

  • Attributes: complete as closely as possible
    This allows Pre Appraisal properties to be searched by type to assist in generating future business

  • Click Save (button top right)

5. Add journal entry and set next call date 

Setting a next call date ensures that this opportunity will appear in the Vendors/Landlords To Call section on the Organiser

  • In Activity Feed section, click (plus) button and select Create journal entry

  • Add journal entry and click Accept

  • Ensure Update last/next call dates is selected and click Accept

The property will be displayed in the Vendors/Landlords To Call list on the Organiser from the Next call date and until the Last call date is updated
