A contact record can be set up as restricted - when set with restricted access, this results in only the contact’s Key Contact being able to access it

Configuration options are available to either allow or prevent users from:

  • marking contacts as restricted

  • viewing contact records marked as restricted

1. Mark contact as restricted (where allowed)

Where configuration allows, you may be able to mark a contact as restricted
If you are unable to do this, you will usually only be able to view non-restricted contacts plus restricted contacts where you are their Key Contact

From contact:

  • In the Relationships panel, click link at bottom and select Access is restricted

2. Viewing a restricted contact record

If attempting to view a restricted contact record where you are not their Key Contact

  • A prompt will be displayed

3. Viewing a restricted contact role record

When viewing an applicant, tenancy, landlord or vendor screen that a restricted contact is associated with, when you are not their Key Contact their details will be masked

Example

  • The Joint Landlord on this landlord record is set as a restricted contact
    (the user viewing the record is not the contact’s Key Contact)

Unless configuration dictates otherwise, a restricted contact can only be viewed by the contact’s
Key Contact (set in the contact Relationships panel)
