Reports can be generated for tenancy renewals/extensions* and alterations

Reports can be run via Power Reports and the Organiser

*The terminology (i.e. renewal or extension) in use on your system is dependent on configuration as chosen by your business

Your system may be set to use the term renewal (instead of extension), however this report will still use the term extension

This will be updated in a future version where the report will be titled Tenancy Renewals & Alterations

1. Access report & criteria options available

From main menu:

  • Click Reports then Power Reports and select report type of Tenancy Extensions & Alterations

  • The report criteria is displayed

The Linked Records section also allows a Tenancies sub-report to be selected to include specific tenancy-related criteria to the report - see Example report section below

The criteria options allow the report results to be filtered, as follows:

  • Commission Split %: filters by the Our Split percentage value set

  • Created By: filters by the user who created the renewal/extension or alteration

  • Created On: filters by the date the renewal/extension or alteration was created

  • End Date: filters by the end date set on the renewal/extension
    Not applicable for an alteration

  • Fees Payable % / Fixed: filters by Fees payable set (as a percentage or fixed fee)

  • Lettings Fees % / Fixed: filters by the Letting fee set - as a percentage or fixed fee

  • Lettings Fees Freq: filters by Letting Fee Collection type

  • Management Fees % / Fixed: filters by Management Fee set - as a percentage or fixed fee

  • Management Fees Freq: filters by Management Fee Frequency type

  • Rent Frequency: filters by Payable frequency type set (below Rent field)

  • Rent Value: filters by Rent amount set

  • Reset Instalment Start: filters by renewal/extension or alteration with Reset instalment start date ticked/not ticked

  • Start Date: filters by the start date set on the renewal/extension or alteration

From tenancy renewals/extensions and alterations screen:

  • Highlighted fields are those which can be reported on using the criteria above
    Except for the end date, all fields apply for both a renewal/extension or alteration

Example report

This report will return details of all renewals, where a tenancy is current, that were created by Kian Kettlewell since 01/01/2024, where a fixed letting fee between £25 and £75 is being charged

2. Report results grid

After running the report, the report results grid is displayed:

  • Double-click any entry in the list to view the renewal/extension & alteration screen (and tenancy)

Grid functions can be used to sort or filter the list:

  • To sort the list, click the column heading

  • Click to the right of the column heading to view filter icon where the column can be searched, filtered or grouped (dependent on column content)

  • Columns can be removed from the grid - right-click over the column headings and select Pick columns - columns can also be moved by clicking and dragging them to a new position

  • After making changes to the grid layout, right-click over the column headings again and click Save grid layout
    If you have already saved the report criteria - to save to the default report grid for this type, select Save as default layout or, to save the grid just for this saved report, select Save grid to report

3. Add new/saved reports to the Organiser

New or saved renewals/extensions and alterations reports can be added to the Organiser

From required panel (e.g. Overview):

  • Access Panel Setup (click cog on panel header)

  • In Pick categories to display, click + New Category

  • Click Data Source menu and select:

    • Create new to create a new report for the Organiser panel

    • Choose existing to select an already saved report (within the Reports screen)

  • Follow instructions outlined here - from step 3: Adding and removing categories on the Organiser

  • The report is added to the Organiser panel
