Extra columns in letters & documents screens

This guide has been reviewed against our global client base and classed as relevant to all regions

Extra columns are available to be displayed in both the Letters and Documents screens - once added, these will be shown in all Letters and Documents screens on all records across the system

This can be set up in one of two ways:

  1. Your system can be configured to show a selection of extra columns by default - users can still choose to add any additional extra columns, where required

  2. Users can manually choose to display all extra columns - no system configuration is needed

Available extra columns

  • Record added: date & time of when the file was added

  • Added by: name of user who added the file

  • Record amended: date & time of when the file was amended

  • Modified by: name of user who amended the file

  • Physical file: actual file name given to the document

  • Folder location: where on the system the document is stored

  • Error message: if a file errors when uploading, displays recent upload error text
    For use by Reapit or local IT Support

1. Extra columns set-up by default

Extra columns can be automatically displayed in the Letters and Documents screens
(as outlined in section 1 above) - the columns shown are dependent on those chosen by your company 

  • The list is shown in a grid, allowing you to click a column heading to sort the list - or click to the right of the column heading to filter or group it

  • Users can still choose to show all extra columns (listed above) - as outlined in step 2 below

2. Displaying extra columns manually

From a Letters or Documents screen:

  • Right-click over the column headings and select Show extra columns
    All extra columns will now be shown in all Letters and Documents screens on all records across the system
