Report on keys that are out with companies

This guide has been reviewed against our global client base and classed as relevant to all regions

From version 12.146+, when reporting on keys, an option has been added to report on keys that are out with a company

1. Build & run report

From main menu, click Reports & select Power Reports:

  • Ensure the report type is set to Property Report and select Sales or Lettings

  • Select any options required to narrow down the properties returned, such as Office

  • Click Show more and, from Linked Records, select Keys

  • Click Keys status and select out with company
    Choosing to report on keys out with contact will return both contacts & companies

  • The option to select a specific company is offered - useful if needing to narrow down by company
    If not, leave blank for all

In this example, keys for lettings properties in the current office that are currently out with a company will be returned

2. Report results grid

From the results grid, the option to show who the key is out with can be added

  • Right-click over the column headings - click Pick columns, then select More

  • Find Key With in the list and tick to select, then click Accept

  • The results grid will show the Key With column

    Clicking the column heading allows you to sort by company name, clicking to the right of the heading allows you to filter by a specific word
    To save the column to the grid, right-click over the column headings again and select Save grid layout
