Add/change property marketing mode (sales/lettings) & stop dual marketing option

This guide has been reviewed against our global client base and classed as relevant to all regions

A property record can be dual marketed - i.e. a sales property record can also be a lettings property record, and vice versa

If wanting to duplicate but not dual-market

Pre-version 12.162: use the dual marketing option to convert the sales/lettings property to lettings/sales, then stop sales/lettings marketing
This can be done for a lettings property (to sales) and lettings marketing stopped, but only when there are no transactions on the lettings property - for this scenario, the lettings property needs to duplicated,
Follow the process outlined in the last section of this guide titled: Market a lettings property as sales where property has transactions (applicable pre version 12.162)

From version 12.162+

From 12.162+, an option is available to duplicate a sales property as lettings (and vice versa) without having to dual market the property first

This guide covers:

Dual-market a sales property as lettings

1. Market as lettings option

From the sales property:

  • Beside Active, click Sales and select Market as lettings property

  • Click Yes to confirm

2. Select/add landlord

The search screen will be automatically displayed

  • Current landlords are searched by default, tick Include contacts to search contact records as well

  • Enter search text (such as Name) and press enter on keyboard

  • Double-click when found, or click Add (top left) to add a new landlord record
    If the landlord is the current vendor, the vendor contact record should be displayed in the search

If selecting a contact record that currently does not have a landlord role, the following prompt will be displayed:

  • Click Yes

  • The selected contact is created as a landlord - check contact details on left & update as required

  • In Financial panel, click edit (pencil) icon and add relevant financial details, click Save and Exit

3. Lettings record created

The property is now being dual marketed as both lettings & sales - as indicated in the Active section

  • Make required changes - e.g. select lettings property Status

  • Click Save
    If you now wish to stop marketing the property as sales, see next step

You can switch between lettings and sales view of the property via the Active menu

4. Pre version 12.162: to stop marketing as sales (where required)

From lettings property:

  • Beside Active, click Lettings and select Stop sales marketing

  • Click Yes

  • The property record is now being marketed as a lettings property only

  • Automatic notes are added to the Activity Feed and the Detail Change section of the Journal, along with the Active section showing as Lettings only

Dual-market a lettings property as sales

1. Market as sales option

From the sales property:

  • Beside Active, click Lettings and select Market as sales property

  • Click Yes to confirm

2. Sales record created

The property is now being dual marketed as both sales & lettings - as indicated in the Active section

  • Make required changes - e.g. select sales property Status

  • Click Save
    If you now wish to stop marketing the property as lettings, see next step

3. Pre version 12.162: stop marketing as lettings (where required)

From sales property:

  • Beside Active, click Sales and select Stop lettings marketing

  • Click Yes

  • The property record is now being marketed as a sales property only

  • Automatic notes are added to the Activity Feed and the Detail Change section of the Journal, along with the Active section showing as Sales only

Market a lettings property as sales where property has transactions (applicable pre version 12.162)

1. Duplicate lettings property via dual marketing menu option

From lettings property:

  • Beside Active, click Lettings and select Market as sales property

A prompt will be displayed to explain that the property cannot be dual marketed due to its transactions:

  • Click Yes to duplicate the lettings property record

2. Keep/clear landlord details

Select the appropriate action:

  • Click No to keep landlord details and the current office

  • Click Yes to clear landlord details and register to your office

 

3. Save duplicate lettings property record

The duplicate lettings property record is created - the Notes panel contains a reference to the property record the new property was duplicated from

  • Click Save
    An option to copy pictures and rooms will be offered

4. Change marketing mode on duplicate lettings property record to sales

From lettings property:

  • Beside Active, click Lettings and select Market as sales property

  • Click Yes to confirm

  • Click Yes to save the property record

5. Dual marketed property record created

The property record is now marked as Sales (+Lettings)

  • You can use the Active menu to Switch to lettings view
    If you now wish to stop marketing the property as lettings, see next step

6. Stop marketing as lettings (where required)

From sales property:

  • Beside Active, click Lettings and select Stop lettings marketing

  • Click Yes

  • The property record is now being marketed as a sales property only

  • Automatic notes are added to the Activity Feed and the Detail Change section of the Journal, along with the Active section showing as Sales only
