Internet Registrations setup & technical guidelines - Enterprise customers

When a portal lead enquiry is sent from a website, such as Rightmove, it is held in the Internet Registrations screen - this screen allows you to view enquiry details then either add them as an applicant/property, mark them as a duplicate or reject them

When adding a new applicant/property record, details are taken from the original enquiry and automatically added to your database

A selection of reports are also available to assist in overseeing where enquiries originate and what actions have been taken

Enterprise Setup Model / Email Formats / Next Steps

In order to use Internet Registrations, the following steps need to be completed (with the assistance of your IT provider) before Reapit can configure and test the system.

1. Set up a single companywide POP3 email account which is accessible by Reapit.

2. Provide Reapit with access details to the POP3 account (e.g. account name, password, POP3/SMTP server name).

3. Ensure there are unique email accounts per office for use with Internet Registrations; if sales and lettings have separate offices on your platform, they will require individual email addresses.
Reapit will use these email addresses to determine which office the applicant is assigned to.

4. If new email addresses have been created, inform the portals and update the company website with the new addresses (as set up in point 3 above).

5. Set a rule to forward or send a copy of any emails received at these email addresses to the POP3 account, preferably with a copy going to the branch as well.

If you want to import emails from your own website, or another site which Reapit currently do not import, there two options:

  1. Provide example emails (which may require development work and therefore be chargeable)
    OR 

  2. Ensure the format of your emails follow the Reapit default format, as outlined below

  • Do not submit the required information to Reapit in a table

  • A space is required after each colon

  • Each line ends in a carriage return (relating to ASCII character 13)

  • Under Enquiry Type, in order for Reapit to import the correct type of lead, only one of the four options should be set

  • Address, Telephone, Message, Property Ref & Marketing Consent Given fields can be omitted, but all others are mandatory

  • A Marketing Consent Given value of true means that consent has been given, false means consent has been denied and blank means the client has not been asked

Once Reapit receive confirmation that the POP3 account, email addresses and forwarding rules have been set up, tests will be carried out to confirm that the automated mechanism is in place and that nothing further is required.

Internet Registrations will be collected from the POP3 account and processed to determine whether they match any of the available templates that are set up to accept enquiries from the various portals and your website. If they do match, they are parsed and displayed on the Reapit Organiser screen; those that do not match are ignored. Once processed, the emails are deleted from the POP3 account.
