Portfolio snapshot (APAC only)

This guide has been reviewed against our global client base and classed as relevant to APAC only

The portfolio snapshot report is a custom report available for APAC clients only

To access the report, from the Reports menu:

  • Select Custom Reports 

  • Click Portfolio Snapshot

There are certain fields that cannot be reported on retrospectively - therefore, if you wish to report in the past you are advised to run this report on a weekly/monthly basis and save this locally (these are clearly identified in the report) - an explanation of the columns is below

Average properties per owner

The average number of properties per landlord
e.g. 50 properties with only 40 landlords would be 1.25

No of weekly tenancies

The number of current tenancies with rent payable weekly

No of fortnightly tenancies

The number of current tenancies with rent payable fortnightly

No of monthly tenancies

The number of current tenancies with rent payable monthly

No of pending new business properties

Count of all properties with status Available and no prior tenancy record

Vacancy rate %

Of all records in portfolio, divide the number without current tenancies (not occupied) by the total number to determine the vacancy rate as a percentage 

Vacancy count

Of all records in portfolio, the number without current tenancies (not occupied)

Arrears

Percentage of tenants effectively in arrears - current tenancies only

Arrears 14+

Count of tenants 14 days effectively in arrears - current tenancies only

Average weekly rent

The average weekly rent of current tenancies

Average monthly rent

Average monthly rent based on weekly rent /7 * 365/12 for current tenancies

Average management fee

The average management fee for current tenancies

No of properties leased for month

The number of properties leased for the reported month

Total gains

Number of properties with no previous tenancy and has a tenancy starting in the period

Total loss

Number of properties withdrawn in the period

Net gain

Gains minus loss

Net value gain

Annual management fee gained minus annual management fee lost 

Preventable

Number of properties withdrawn with reason as one of in reason code list  (contact Reapit Support to enable)

Non-preventable

Number of properties withdrawn with reason not one of in reason code list (contact Reapit Support to enable)

Total management fees for month received

Include all invoices in the agent ledger for the period of CrNom equals Default Nominal Code for Management Fees or Renewal Management Fees

Total leasing fees for month received

Include all invoices in the agent ledger for the period of CrNom equals Default Nominal Code for Rental Letting Fees or Extension Letting Fees

Total all other fees for the month

All invoices in the agent ledger for the period less the ones in management and leasing fees

Total Monthly Income (excluding GST)

Total monthly fees excluding GST

Total Monthly Income (including GST)

Total monthly fees including GST

Total refunds/agency payments for the month

Total refunds processed
