Booked appointments/viewings in Reapit Go - features & functions available on the appointment summary screen

This guide has been reviewed against our global client base and classed as relevant to all regions

When accessing a booked appointment/viewing in Reapit Go, an appointment summary screen is displayed

The appointment summary screen provides:

  • essential information needed for the appointment, including key number and viewing arrangements

  • shortcut options to view other screens and access other features, such as:

    • quick access to contact involved parties via email, via a call or via a WhatsApp or SMS/text message

    • view property location via the default map app on the device (e.g. Google Maps)

    • send reminders to individual parties

  • access to full appointment details - see note in green box below

Booking an appointment in Reapit Go is a streamlined process that only requires basic appointment details to be entered - therefore, once booked, full appointment details may need to be accessed to allow changes to the appointment to be made, such as marking the appointment as confirmed, changing the appointment owner and also the date/time of the appointment

Access appointment summary screen

From Reapit Go diary or when accessing appointments via the homepage:

  • Tap appointment (e.g. from Diary in Schedule view)

The appointment summary screen is similar to that seen when booking an appointment

Appointment start/end time & date, confirmed status, appointment type & accompanied details

Appointment start/end time & date (plus recurring appointment information)

  • This can be changed via the full appointment details screen - tap Details button to access full appointment details screen (see link below)

  • If an appointment is recurring, details of the recurrence settings will be displayed below this
    e.g. Every 3 weeks from 13:00 - 13:30 Thursday 24th October 2024 until Thursday 23rd October 2025

Appointment confirmed status

  • Indicates how many of the involved parties have confirmed the appointment so far (e.g. Confirmed 0/3) - parties who may need to confirm could include user/negotiator, vendor/landlord, applicant/contact/tenant

  • When the appointment is fully confirmed, All Confirmed is displayed

  • To update the confirmed status of the appointment, tap Details button to access full appointment details screen (see link below)

Appointment type

  • The appointment type set - appointments are colour coded across the app (examples include: viewing = green, market appraisal = blue, appointment = brown, meeting = orange)

  • This can be changed via the full appointment details screen - tap Details button to access full appointment details screen (see link below)

Accompanied

  • When a user/negotiator is attending the appointment, Accompanied is displayed

  • An appointment can be marked as Unaccompanied via the full appointment details screen - tap Details button to access full appointment details screen (see link below)

Virtual appointment

  • When an appointment is marked as virtual, Virtual is displayed

  • To mark/unmark an appointment as virtual, access the full appointment details screen - tap Details button to access full appointment details screen (see link below)

Property details - view property on default map app (e.g. Google Maps) & key number information

When a property is associated with an appointment, property details are displayed:

Property address

  • Tap link to access property location on your default map app (e.g. Google Maps)

  • Functions within the map app can then be used to locate the property, get directions, etc.

Key details

  • When the property has key details stored via the Viewings & Keys screen on the Reapit CRM product, the key number(s) are displayed

  • Where no key details have been added, the Keys section will not be shown

Vendor/landlord details - contact shortcuts, access property details & send appointment reminder

When a property is associated with an appointment, vendor/landlord details are shown:

Name

  • The main vendor/landlord name is displayed along with any contact details, as stored on their contact record

  • If the property has secondary/extra vendor(s) or joint landlord(s), all contact details are shown (see next section below)

Send reminder message

Before the appointment is due to take place:

  • To send a reminder to the vendor/landlord - tap Send Reminder

    • A message is automatically generated for the main vendor/landlord, based on the appointment details, which can be edited as required - for example:
      Hello Mr Roy Stoner, your Viewing at 22 High Street, Town, TW0 2NE is confirmed for Tuesday 22 October 2024 at 11:30. If you have any questions prior to the appointment please do not hesitate to contact me.

After the appointment has taken place:

  • To send feedback to the vendor/landlord - tap Send Feedback
    (Send Reminder button is changed to this)

    • A message is automatically generated for the main vendor/landlord, based on the appointment details, which can be edited as required - for example:
      Hi Roy, We have received the following feedback from the Viewing on Tuesday 22 October 2024 at 11:30 for 22 High Street, TW0

When a property has joint landlord(s) or secondary & extra vendor(s)

Any joint landlord or secondary/extra vendors are shown below the main vendor/landlord details:

  • Tap arrow (top right) to expand the section to display their details - tap again to collapse

  • Contact shortcuts can be used, as outlined above

Attendee details - contact shortcuts, access details & send appointment reminder

When an attendee is associated with an appointment, their details are shown

  • An attendee can be an applicant, landlord, contact or tenant

  • The type of record being viewed is indicated on screen - e.g. Applicant Details, as shown in the example below

Name

  • The main attendee name is displayed along with any contact details, as stored on their contact record

  • If the attendee has any extra contacts on their record, their details are shown below (as shown in vendor/landlord details section above)

Contact shortcuts

View details

  • Tap View Applicant/Contact/Property to access the relevant details screen on Reapit Go
    The option shown depends on whether the attendee is an applicant, landlord, contact or tenant

Send reminder message

Before the appointment is due to take place:

  • To send a reminder to the attendee - tap Send Reminder

    • A message is automatically generated for the main attendee, based on the appointment details, which can be edited as required - for example:
      Hello Ms River Macdonald, your Viewing at 22 High Street, Town, TW0 2NE is confirmed for Tuesday 22 October 2024 at 11:30. If you have any questions prior to the appointment please do not hesitate to contact me.

After the appointment has taken place:

  • To request feedback from the attendee - tap Request Feedback
    (Send Reminder button is changed to this)

    • A message is automatically generated for the main attendee, based on the appointment details, which can be edited as required - for example:
      Hi River, Thank you for attending the Viewing at 22 High Street, TW0 on Tuesday 22 October 2024 at 11:30. Please let me know what you thought of the property and if there is anything I can assist you with.

Other details - viewing arrangements

Viewing Arrangement Notes

  • When Viewing Arrangements have been added via the Viewings & Keys screen on the Reapit CRM product, the notes will be shown here

  • Where no viewing arrangements have been added, this section will not be shown

If you need to edit (or add) viewing arrangement notes, this currently needs to be done via the Reapit CRM product
From property, click Viewings & Keys button and enter text in the Viewing Arrangements field
