Change diary settings - including add/remove offices/negotiators

This guide has been reviewed against our global client base and classed as relevant to all regions

This article outlines how to:

Add or remove offices/negotiators from diary view

If you need to see/remove diary appointments for other users/offices, follow the information outlined in this section - the Display panel (bottom right) shows whose diaries you are currently viewing

1. Add/remove users from view

From the Display panel:

  • Tick/un-tick users that you do/don't want to see diary information for

The maximum number of users you can select is 20

2. Select other offices/users

  • In the Display panel (right), click the cog icon and click Select offices to display

  • Tick the offices whose diary you need access to and click Select
    The offices offered are dependent on your security settings

3. New office(s) added

The new offices are added to the list in the Display panel

  • Click the arrow beside the newly added office(s), the users in the office will be displayed, select the individual(s) required
    OR

  • Tick the box beside the office name to view the whole office

This section outlines the diary options and settings available

1. Diary settings menu

  • From the Display panel (right) click the cog icon

  • The diary Options menu will be displayed, each entry is explained below

2. Appearance options

From the menu shown above

  • Select Appearance options

    Options are available for:

  • Attendee bar 
    See 2a 

  • Appointment background 
    See 2b

2a. Attendee bar

The colour bar used to represent the appointment attendees can be situated in one of two places:

  • Show on left
    Shows the colour bar to the left of the appointment in the diary

  • Show on top
    Shows the colour bar on the top of the appointment in the diary

2b. Appointment background

The appointment background can be changed to represent the main attendee or all attendees

  • Main negotiator colours
    Just the main negotiator's colour for the appointment is shown

  • All negotiator colours
    All negotiator colours for the appointment are shown
    This includes the main negotiator and any other negotiator the appointment is shared with

3. Show all entries / Show only appointments

These options allow you to choose which diary entry types* are shown on the diary

*What is an entry type? When creating an appointment in the Reapit diary you need to choose an Entry Type for the appointment, e.g. Viewing

The default is to Show only appointments

  • Show only appointments just shows appointments in the diary that have been assigned to an Entry Type from the standard list shown in the initial menu - as shown left

  • Show all entries displays any entries, including those where the appointment Entry Type has been selected from the Full List - i.e. the list shown when clicking Entry Type and choosing Full List, see 3a

3a. Which entry types are appointments?

The initial list shown (above) are those classed as Appointments and therefore show by default in the diary

If you select Full List - the list is expanded - entries that weren't in the initial list are not classed as appointments, so will not be shown in the diary unless Show all entries is selected, as outlined left

4. Show cancelled appointments

When enabled:

  • Shows cancelled appointments on the diary, but greyed out (see right)

When not enabled:

  • Cancelled appointments will not be shown in the diary but will still be shown in the related journals

 

5. Show only confirmed

When enabled:

  • Will only display appointments in the diary that have been fully confirmed
    i.e. all the relevant Confirmed boxes have been ticked on the appointment

6. Show initials in entry

When enabled:

  • User initials/ID will be shown in brackets on each appointment
    Initials are not shown when in single day view, see below

7. Show Unaccompanied in entry

To help distinguish between appointments that are accompanied and unaccompanied, when this is option is enabled:

  • An (UnAcc) flag can be seen at the end of the appointment details (when an appointment is fully visible in the diary)

    When appointment details are not fully visible, the (UnAcc) flag can be seen when hovering over the appointment in the diary

 

 

 

 

8. Do not merge viewing tours

A viewing tour is assumed when the same applicant is viewing more than one property with the same negotiator with two hours or less between each appointment

When enabled:

  • Viewing tours are not merged and all appointments are shown independently

When not enabled:

  • Viewing tours are merged and shown as one appointment

9. Do not use single day view

When single day view is in use, each selected user is given their own diary column when viewing just one day in the diary; useful for busy diaries/days

When enabled:

  • Single day view will not be used

When not enabled:

  • Single day view will be used

10. Use 15 minute intervals

When enabled:

  • Each hour section is split into four rows

When not enabled:

  • Each hour section is split into two rows

11. Select offices to display

See previous section titled Add or remove offices/negotiators from diary view

12. Other diary view settings

Start/end time

To show an earlier or later start/end time on the diary view

  • Click Early/Late
    (at top/bottom left of diary view)

  • Select the required time

 

Zoom option

  • Click magnifying glass zoom icon to adjust the zoom setting of your diary screen

    Alternatively hold Ctrl on keyboard and scroll using mouse wheel
