Tenancy renewal negotiation checks (standard/updated checklist style) - configuration option

A standard format checklist (like others seen across the system) can be used for tenancy renewal negotiations - standard checklists offer greater functionality and also allow renewal checklist detail to be reported on

When standard format checklists are enabled, existing/legacy check functionality is no longer used - however, when accessing an existing renewal where old/legacy checklist items had already been completed, the option to switch to the old/legacy checklist format is available (see step 3)

1. Access renewal checklist

From a renewal negotiation:

  • Once renewal letters have been received, the References panel becomes available

  • Click the link beside Checks - the Renewal Checks screen is displayed
    This is the same format used for other checklists, such as Pre/Post Tenancy Checks

2. Complete checklist

The type/number of checks displayed is dependent on how your business have chosen to set this up

  • Use the link to the right of the check to update the status of it - options are:
    Needed, Not Needed, Sent/Arranged, Completed

  • The paperclip icon beside the check allows you to attach associated documents

  • When a check is complete, hovering over it displays who completed it and when

  • If your configuration settings allow:

    • Click Add check to add further entries to the list

    • Click into the field to edit the check title

  • The order of the checks can be changed:

    • Hover mouse pointer over the check to move

    • Click and drag the double-headed arrow icon on left of screen to move the check

3. Switch to legacy checks

When accessing an existing renewal where old checklist items had already been completed, it is possible to switch to the old/legacy checklist format

From a renewal negotiation:

  • Where legacy checks exist, an asterisk (*) is displayed beside Checks

  • Right-click over the link and select Switch to legacy checks

  • Click Checks link to access legacy checks, along with the option to Switch to new checks
    Switch to new checks displays the new format checklist, as seen in steps 1 & 2

4. Reporting on checks

Checks can be reported on when running Renewal Negotiation reports via Power Reports

From main menu:

  • Click Reports and select Power Reports

  • Click report type and select Renewal Negotiations

  • Pick required criteria to narrow down the renewal negotiations shown (e.g. Status)

  • From Linked Records, click Checks

  • Pick required Checks criteria

  • To find renewals with no checks entered, click Renewal Negotiations has checks and change to Renewal Negotiations does not have checks

Example report

  • This report returns details of renewal negotiations that have started/being negotiated that require a gas certificate but where the check is not complete
