Add an inventory clerk to a tenancy

This guide has been reviewed against our global client base and classed as relevant to all regions

An inventory clerk can be associated to a tenancy - once set, the relevant clerk can be viewed in tenancy search grids and when running a Power Report

The inventory clerk name merge code has also been added to the Letter Template Editor, allowing it to be used when building letter templates - for more information on the Letter Template Editor, click here

1. Set inventory clerk on tenancy

  • In the Relationships panel, click  icon and select Inventory clerk

  • A list of current users on the system is displayed, tick the required name and click Select

  • The Relationships panel now displays the Inventory Clerk 

     

2. Clerk shown in search grid

When using the tenancy Advanced Search screen, the Inventory Clerk is included in the grid:

  • Click the column heading to sort in name order, or click to the right of the column for options to filter or group by inventory clerk

 

3. Clerk can be included in a power report

From Power Reports screen:

  • Select Tenancy Report type

  • Click Show More to view the Inventory Clerk criteria option

  • Enter other relevant criteria, e.g. tenancy Status

  • Click Run Report

 

4. Merge code added to Letter Template Editor

  • The merge code is found in the list on the right and can be dragged into the Word document (as shown right)

  • For reference, the merge code to include the Inventory Clerk name is: Tenancy.InvClerkName
