Works order property note

This guide has been reviewed against our global client base and classed as relevant to all regions

A works order note can be added to a property - the note is shown on all works orders created for the property and is also added to supplier invoices created from works orders carried out on the property

The notes can also be viewed in the certificates screen, usually used when viewing/managing safety certificates in bulk

1. Add works order note

From the property:

  • Click ellipsis menu (…) and select View/edit works order note
    An asterisk (*) beside the link means a note has been added

  • Add/edit the note, click Accept to save

2. Note shown on works order

Property notes are shown on all works orders (and supplier invoices) for the selected property

Landlord notes can also be added which show on works orders for all the landlord’s properties (property notes are only shown on the works orders for the property they were added to), click here for more information: Landlord works order note/instruction

3. Property notes in certificates grid

When using a certificates grid to view/manage certificates in bulk, the property notes can be added as a column to the grid, grid functions can be used to sort or filter by property notes

From Organiser, Property Management panel:

  • Right-click over a certificate entry, e.g. Gas safety expiry in xx days and click Full results

  • The certificates screen is displayed - to add the columns, right-click over the column heading, click Pick columns then select Property Notes

  • The new column will be added to the far right side of the grid - click and drag the column heading to the desired position

  • Right-click over the column headings again and click Save grid layout

Use grid functions to sort/filter the list:

  • To sort the list, click the column heading

  • To filter by column content, click to the right of the column heading (to view filter icon) and enter the required text to filter by
