Set an overall status for pre-tenancy check process - configuration option

When contacting Reapit Support, include the status options you wish to be added, including which option you would like to be the default/starting option

A configuration option is available which allows an overall status to be set for the pre-tenancy check process - status options available are set-up to meet business requirements

When a status option is selected, this is logged in the tenancy Activity Feed

The pre-tenancy check status can be reported on - plus tenancy grids, seen after reporting, can also show when each status option was last changed

This functionality has been added to assist with managing the pre-tenancy process, allowing current workload to be defined and reported on

1. Pre-tenancy checks status option

From tenancy:

  • Click Pre-Tenancy tab

  • In the Pre-Tenancy Checks panel, the overall pre-tenancy check Status is shown (top left) with the current status shown beside it

    • When a tenancy is created, a default/starting pre-tenancy check status is applied
      In this example the default status used is In Office

2. Set pre-tenancy check status

From the screen shown above:

  • Click the drop-down menu beside Status and select the required option
    The options displayed are dependent on the requirements of your business

  • The new status is displayed and, once the tenancy is saved, details of the change are logged in the Activity Feed

  • Hovering over the current status also displays a history of the changes

3. Report on pre-tenancy check status

Click Power Reports:

  • Select report type of Tenancy Report

  • Select Pre-Tenancy Check Status and select the required status type(s) to report on

Example report

This report returns all tenancies where the person running the report is the tenancy Key Contact (termed as Manager) that are due to start in the next month and are at Arranging Tenancy status with a pre-tenancy check status of Tenancy Admin

The date each pre-tenancy check status option was last changed can be shown in the tenancy grid, seen after running a tenancy report

From a tenancy report grid:

  • Right-click over the column headings, select Pick columns and click More

  • Select which pre-tenancy check status column(s) you want to add to your grid and click Accept
    The column labels offered will match the pre-tenancy status options configured on your system
    In this example, status options in use are: In Office, Tenancy Admin, Compliance & Complete

  • The new columns are added to the far right side of the grid - click and drag the column headings to the desired position

  • Right-click over the column headings again and click Save grid layout
    If you have already saved the report criteria - to save to the default tenancy report grid, select Save as default layout or, to save the grid just for this report, select Save grid to report

  • The columns will show when using this type of grid again - grid functions can be used to sort or filter the list

    • To sort the list by date, click the column heading

    • To filter the list by date, click to the right of the column heading to view filter icon and use the date fields to filter
