Initiate deposit/bond release - configuration option

This guide has been reviewed against our global client base and classed as relevant to all regions

A configuration option is available which allows specific users to be given the ability to authorise a deposit release while not being permitted to process and post the transactions

This is useful where a property manager is permitted to authorise the deposit release - they can then pass this to the client accounts team to post the transactions and complete the process

1. Access refund deposit option

From the tenancy:

  • Beside the Deposit (bottom of screen), click Manage
    The Tenancy Deposits screen will be displayed

  • Click Refund Deposit

2. Property Manager initiates deposit/bond release

The Tenant Refunds screen is displayed showing all items which could be refunded

  • Ensure the item(s) to be refunded are ticked and the amount shown is correct

  • Tick Initiate deposit release (bottom right)

  • Click Save
    The Property Manager has a Save option in this screen
    (as opposed to Post, which is seen by a client accounts user - see step 5)

The option to Create a charge for damages (top right) can also be used by the Property Manager

Once added, before they are approved by the accounts team, they can be removed by right-clicking over the charge and selecting Remove

3. Deposits screen

A note is made beside the Refund Deposit option to indicate that the deposit release has been initiated

4. Activity Feed entry

The Activity Feed on the tenancy automatically logs a journal entry





5. Client accounts team authorise & process the deposit release

The Tenant Refunds screen is accessed by the client accounts team

  • Ensure the items checked are correct (un-tick any unauthorised items before posting)

  • Click Post

Once posted, when the Property Manager views the Tenant Refunds screen again, the posted items will be removed from view
