Add licenced occupiers to a tenancy (when tenant is a company)

This guide has been reviewed against our global client base and classed as relevant to all regions

When a tenant is a company, you can add licenced occupiers to the tenancy - both standard tenants and occupiers can be added to the same tenancy

Once added, letters can be set up to send to the occupier, instead of the company, and vice versa

This feature applies when a tenant was added as a company applicant, as shown in the example below:

A licenced occupier is someone whose name is not on the rental agreement
The company that are providing their accommodation are used for this instead

1. Adding a tenant or an occupier to a tenancy

See notes at top of this article regarding the difference between an occupier and a tenant

From tenancy:

  • The tenant name (i.e. the company applicant) is shown in the Company panel

  • Additional Tenants / Occupiers are shown in the panel below

To add further occupiers or tenants

  • From Additional Tenants / Occupiers panel, click  icon

  • Select option to add New tenant or New occupier

2. Add occupier details to a letter

Merge fields which will pull the occupier names into a letter are available

  • If you have access to the Letter Template Editor, these fields can be found in the Tenancy section, for example All Occupier Names
