Change tenants on a current tenancy (using tenant change wizard) - configuration option

A configuration option is available which allows tenants on a current tenancy to be changed using the tenant change wizard - this includes removing tenants and swapping tenants

In the situation where an additional tenant is leaving, no one is taking their place and the tenancy is continuing with the main tenant, the vacating tenant name can be removed - this functionality is already in place & does not require the configuration outlined here:

However, the functionality outlined below is useful to implement if removing and swapping tenants is a regular practice, as it is more friendly for the user, adds the information to the relevant journals, tenant start/end dates are updated/respected correctly across the system and it also offers the addition of using specific tenant swap templates when carrying out a tenant change

1. Access tenant change wizard

From the tenancy, Additional Tenants / Occupiers panel:

  • Click and select Launch tenant change wizard

2. Tenant change wizard screen

Use this screen to identify:

  • Vacating Tenant - click link and select existing tenant name from list
    If there is no tenant vacating, leave this blank & complete the Incoming Tenant field

A main tenant can be swapped with a new tenant - after doing this they will show as a vacated additional tenant & the incoming tenant will show as the new main tenant
However, if the main tenant is vacating and with no swap, a current additional tenant must be promoted to main tenant first
To do this, right-click over the additional tenant name & select Promote to main tenant

  • Incoming Tenant - click link and search for incoming tenant name
    If there is no incoming tenant, leave this blank & complete the Vacating Tenant field

  • Effective From - enter the date this change will take place
    A date must be entered

  • Letter Template - select the template to be used for this change - e.g. you may wish to produce a letter to confirm the changes plus the date this will take place

3. Activity Feed

On the tenancy:

  • The tenant changes are logged and shown in the Activity Feed

4. Tenant names updated

On the tenancy:

  • In the Additional Tenants / Occupiers panel, tenant names are updated accordingly

  • Click the tenant name to show the tenant screen where the From/To dates will have been automatically updated - the Dates field will show the date in accordance with what was added in step 2
